Important Information about MediConf & Our Courses

Background Information to Terms and Conditions

MediConf UK is one of the fastest growing primary care education providers in the UK. It was formed in 2007. We are not part of a CCG or a charity, but a private organisation. In view of this and to enable us to keep our costs to a minimum and still offer top quality education either FREE of charge or heavily discounted, it is necessary to provide sponsorship. This can be in the form of a sponsored session during the interval for webinars or by way of a small exhibition during break times at all our face-to-face events.

Courses Information

During the Covid Pandemic, MediConf had to adapt as a business and started to run online CPD Courses for GPs and for Nurses/other Healthcare professionals. We use the Zoom Webinar Platform to provide these CPD Updates.

As Covid becomes endemic and we learn to live with the disease as part of our lives, we will continue to offer CPD Update training courses in whatever format that is required by our members. This may be face-to-face or Webinar CPD courses.

The Terms and Conditions apply to both Webinars and Face to Face events with specific details for each type outlined in the document

Please book all courses online. By booking a place on a MediConf course you are agreeing to all our Terms and Conditions outlined below.

Who is eligible for a MediConf membership and attend our events

All practicing Health Care Professionals must provide a valid surgery or work place address with postcode

All Health Care Professionals MUST Practice within the UK. 

Our courses are specifically designed for UK Health Care Professionals.  Our sponsors assist us by providing funding for the UK.

Failure to follow our strict protocol regarding this, will result in an invalid account being deleted without notice

Online Webinars

None of our webinars are recorded due to the presentations being copyright and therefore the intellectual property of our speakers.

All Zoom links will be emailed to the email address you provided upon booking 24 hours and 1 hour prior to the start time. It is your responsibility to notify us up to 2 hours prior to the start of the webinar if you are using a different email address. Failure to do so may prevent you from accessing or delaying access to the webinar.

Always check your junk mail for the link. If you do not receive it send an email to janet@mediconf.co.uk for assistance.

Please log on promptly at the start time.  It may not be possible to log on, once the event has started well into the 1st hour.

If you experience technical difficulties from your own device, it is not the responsibility of MediConf, and you are not entitled to a refund. Full refunds will be offered ONLY if MediConf fail to deliver the Webinar.

We no longer offer the dial in option from your phone. Some delegates have experienced call fees of £1.00 per minute as dialling in often uses the American number.

Online Meetings as apposed to Webinars

Some of our educational events may switch to "Meetings" rather than webinars to accommodate break out rooms for our multiple sponsors.  It is crucial that we involve sponsorship as their support enables us to run FREE Educational events.  Without their support course fees would equate to around £40 per event.

Meetings are similar to webinars however, you the delegates have control over your sound and video during the meetings. We ask that you switch of this function during the presentation, otherwise it can be very distracting to the audience as we can all see every person on the event when their camera is switched on.

With this in mind, it is the sole responsibility of every individual to adhere to our protocol by switching off cameras and sound once the event has commenced.

Remember conversations can be heard by everyone on the event IF YOU ARE NOT MUTED

MediConf DO NOT take responsibility for discussions heard by other members during a live meeting. 

Face to Face Events

Advertised FREE courses – All FREE course places are only available to Healthcare Professionals who practice within the area that the course is being held. Courses which are advertised as FREE of charge, are FREE to practicing GPs including Locum and Salaried GPs. Practice Nurses including Nurse Practitioners and Advanced Nurse Practitioners employed in a Primary Care environment may also book a course place FREE of charge. It is pertinent that at point of registration ALL Healthcare Professionals provide their current surgery address. We do NOT accept home addresses.

Sponsorship is essential for MediConf to offer FREE webinars.  The sponsorship cover costs towards:
Speaker fees, admin costs, staffing costs, insurance, web site maintenance, Zoom costs.

If you disagree with our policy of Promotional Sponsorship to enable a FREE course, please do not book our events.

Oversubscribed Webinars

Unfortunately we are noticing 45% of no shows on our recent events.  This is despite asking delegates to cancel their events if they can no longer attend to allow other HCPs the chance to attend

From January 2024 our courses will be oversubscribed and we will no longer limit attendees on the booking process. 

Our Zoom webinar licence is for 1000 delegates.  This means after 1000 are registered onto the course via the zoom link at the start time, there will be no further slots available.  Therefore entry is on a first come first served basis.

We will not be able to deal with enquiries 15 minutes after the course has commenced

Once registered onto the Zoom event it is adviseable to stay logged on, if you log out, your place will be closed and taken by the next delegate waiting to join.

If we made a charge for our events, it would not be necessary to oversubscribe and enforce this protocol.

MediConf have the authority to cancel a FREE course at any time, if the course becomes unviable to run

Our FREE courses will be oversubscribed as we now have over 30,000 members.  Although these events are currently online webinars, we only have a license for 1000 places and we cannot exceed our allotted slots.

If you cannot attend a course you have booked you MUST CANCEL IT, to allow another delegate the chance to attend.  Failure to do so may affect your future bookings and incur a cancellation fee of £30.00

If adequate sponsorship is not sourced for any advertised events, it may be cancelled due to insufficiant funding.

By registering and booking a place on a course you are agreeing to the MediConf Terms and Conditions.
 
Fee Paying Courses - All fee courses must be paid for in advance of the course by card payment or cheque. All paid course fees are NON-REFUNDABLE and NON-TRANSFERABLE. Places on these courses are available to GPs including Locum and Salaried GPs, and Practice Nurses including Nurse Practitioners and Advanced Nurse Practitioners who practice within the area in which the course is being held. It is pertinent that at point of registration ALL Healthcare Professionals provide their current surgery address to ensure that the correct subsidised course fee is charged. The subsidised course fees charged are either FREE, £10, £15, £25 or £30 dependent on the course topic.

Please log onto your account and click the CANCEL Icon should you need to cancel any courses you have booked. We no longer enforce cancellation fees, nor do we offer refunds or course transfers. You will still have access to the course downloads via your online membership account.

Minors entering the venue - We do not permit children or babies at our events due to health and safety regulations. You will politely be asked to leave the course if you are accompanied with children.

Mitigating Circumstances – On rare occasions we are forced to cancel/reschedule our courses due to circumstances outside of our control. This could be due to a change in speakers or adverse weather conditions. Prior to any event we will always inform delegates of any changes via email as soon as possible. Where a course is cancelled altogether and not rescheduled, a full refund will be issued on receipt of an acknowledgement from the initial cancellation email issued by MediConf. This allows us to ensure that each delegate booked onto the cancelled course has been fully informed.

Adverse Weather Conditions - In the event of adverse weather conditions on the day of a course, MediConf may have to cancel at short notice and all delegates who have paid will be refunded the full fee. We will always endeavour to reschedule the course where possible.
If the MediConf Team are able to continue to run the event as scheduled, naturally NO refunds will be made.

We will make every effort to contact our delegates, however at short notice this may not always be possible. As a booked delegate it is your responsibility to check the MediConf website and your registered email address inbox for any notifications. When this is not possible, please telephone our office on 01253 712894. Our office is open on every Saturday that we hold our events from 9am -5pm. In very rare circumstances it is possible that the MediConf website will have not been updated due to time constraints or any website developments.
 
During severe winter and snow conditions, it is not always possible to predict whether a course can go ahead until the MediConf team arrive at the venue on the morning of the course at 8.00am. In these instances, it is the delegates’ responsibility to decide if it is safe to travel.
MediConf hold no responsibility for cancelling a course at 9.00am on the morning of the course if deemed necessary for the Health & Safety of the delegates or MediConf employees. Neither are we responsible for travel reimbursements.

Local parking and roadworks – MediConf are not responsible for alerting you to roadworks in your area, which may extend any required travel time. We do our best to ensure we chose suitable venues to hold our courses, which offer car park facilities or have carparks nearby. If we are made aware of carpark fees or any roadworks in the area, we are happy to share the information with delegates via email. We cannot accept responsibility of carpark fees/penalties incurred or delays due to local roadworks. Please note, the MediConf office is based in Lytham St Annes, Lancashire and we are not always aware of travel disruptions in your local area.

Terms and Conditions Applicable to both Face-to-Face Events and Webinars

Eligibility - All our courses are only available to registered Health Care Professionals only. Members of the public are not permitted to attend.

Booking a course - Please book via the Website only. We do not take bookings over the phone or via email. Please note that all confirmations will be sent to you via email ONLY acknowledging your place, candidate registration number and other essential information.

Agenda and Course information - We endeavour to cover all topics outlined on our agenda, however, occasionally this is not always possible.  This is due to ongoing interaction with our presenter and audience during the event.

Please note some of the photographs shown during a presentation, may not be available on the downloads due to copyright. We adhere to strict guidelines and cannot change our protocol.

Delegate Cancellation - All paid course fees are NON-REFUNDABLE and NON-TRANSFERABLE. Our fees are so nominal they mainly cover administration costs of the event which have already been incurred (e.g., Admin time/Website Costs/Card Payment Processing Fees). Please let us know if you are unable to attend as it will allow your place to be allocated to another delegate. If you fail to attend a paid course, you will still have access to the course downloads. If you fail to attend a free course, you will not have access to any post course materials.

To Cancel your place, log onto your account and click the CANCEL icon next to the course you wish to cancel.  This will then delete your booking and generate another slot for someone else

Course materials and certificates - After attending one of our courses, certificates of attendance and any course materials are available. 6 Months for Sole sponsored events and 12 months for all other events ONLY. After the course date please log onto the Members Area of our website to obtain your documents.  If you require a duplicate copy of your certificate an admin fee of £15.00 will be charged.  This payment can be made over the telephone using all major cards.

A CPD Certificate will only appear in your account if you have attended the full session.  MediConf adhere to strict protocol regarding this.  It is unlawful to receive the full CPD points if only part of the session was attended.

Your Information - Please be aware that our courses are either FREE of charge or heavily subsidised, due to assisted sponsorship from carefully selected healthcare product and service providers.  Without the support of our valued sponsors, it would be impossible to offer FREE or heavily subsidised rates.re.

Without the assisted sponsorship we receive, the MediConf course fee would be approximately £120 per place. 

If you are not happy to have Sponsorship involvement during our sessions, please refrain from booking.

By booking a place on our courses you are noting or agreeing to the following terms

  • MediConf will use your email address or postal address to inform you of future MediConf events or services provided by our supporting organisations.
  • We also provide a list of conference attendees to sponsors/potential sponsors of the conferences/webinars so that they may send you information about their products and services by post. This list would only include delegates name, job role and surgery address.
  • Mediconf DO NOT release delegate home address, telephone, or email contact details to third parties.

Do I Get A Refund If I Cancel?

All paid course fees are NON-REFUNDABLE and NON-TRANSFERABLE. Our fees are so nominal, they cover administration costs of the event, which have already been incurred (e.g., Admin time/Website Costs/Card Payment Processing Fees). Please let us know if you are unable to attend, as it will allow your place to be allocated to another delegate. How Do I Access My Certificate And Course Materials?
